Description

Position Title: Associate Director of Development

Department: Administration

Reports To: Chief Development Officer

Position Summary:

This position provides support for the Development functions of Jennings Center for Older Adults.

  1. Essential duties and responsibilities which must be performed in order to carry out the position purpose summarized above:

  • Database Management Functions
    • Manage Raiser’s Edge database.
    • Policies and procedures for Raiser’s Edge data entry revised as needed
    • Enter gift information according to policies and procedures
    • Implement database management policies for keeping clean data and updated information and perform regular database maintenance
    • Pull reports as needed from Raiser’s Edge including dashboards
  • Donor Acknowledgement and Recognition
    • Prepare acknowledgement letters and circulate for signatures
    • Prepare donor listings for the Annual Report
    • Generate solicitation lists and coordinate annual fund appeals twice per year
    • Maintain/update donor displays including the Donor Recognition Display and any required plaques or other forms of recognition
    • Administer in-kind donations per policy
    • Update development forms as needed, including forms for pledges, in-kind donations, tribute gifts, endowment and planned giving
  • Financial Accountability with Business Office
    • Prepare, review and submit deposits
    • Manage monthly variance and general ledger reports for pledges, restricted gifts and unrestricted gifts
    • Reconcile database gift entries with Business Office on a monthly basis to ensure accuracy of gift records
    • Communicate with the General Accountant and/or CFO on a regular basis
  • Solicitation and Publication Mailings
    • Prepare data for solicitation mailings
    • Complete all merges/printing where appropriate
    • Coordinate the signing of letters as necessary
    • Research prospective donors
    • Active involvement in the solicitation process
    • Update Jennings brochures as needed, replenish stock throughout the building
    • Oversee all bulk mailings:
      • Prepare paperwork
      • Prepare mailing per USPS guidelines
      • Deliver prepared mailings and necessary paperwork to post office for delivery
      • Prepare data files, review data for accuracy and make any necessary edits prior to mailing
      • Coordinate with print shop/mail house as necessary
  • General Duties
    • Prepare and send Development Committee materials ahead of meetings
    • Record and publish the minutes of the Development Committee
    • Provide administrative support to the Leadership Team as requested
    • Assist with donor stewardship including donor displays and holiday cards/gifts
    • Assist Database Coordinator with development activities as requested
  • Event and Fundraising Activity Coordination and Support
    • Manage all fundraising and stewardship events including Spirit and Splendor, Founder’s Day Mass, Memorial Mass and others as necessary
    • Create event task lists, schedule rooms/venues, create invitations, track RSVPs and manage all aspects of event coordination
    • Prepare and send solicitations as they relate to fundraising events (sponsorships, auction item requests, etc.)
    • Manage oversite of volunteers
  • Social Media and Marketing Coordination
    • Working with Chief Development Officer, Chief Marketing Officer and Database Coordinator to coordinate all development related social media, digital marketing and print marketing materials to support annual fund appeals, donor stewardship and other events
    • Manage digital fundraising events including Giving Tuesday

Other duties and responsibilities:

  9. Perform all other related duties as directed by your supervisor and/or manager.
